Publishing registration checklist: song data, ownership and royalty evidence

A track appearing on streaming platforms does not necessarily mean every composition is registered, correctly matched or being paid through the right channels. Publishing administration starts with reliable identities and transparent source records.

A practical educational guide from Audio Motion Music. Rights vary by territory and contract; this is general information, not legal advice.

Separate works from recordings

A composition can have multiple releases or recordings. Record the canonical song title, alternate titles, writers and publisher shares as composition facts; store each sound recording and its ISRC separately. A recording identifier is not a substitute for a work identifier.

Prepare the rights and identity fields

Where available, gather legal and professional names, writer IPI/CAE numbers, society affiliations, publisher entities and their IPIs, agreed controlled shares, signed agreements, ISWC, ISRC and relevant territorial administration rights. Keep proof of how each share was established.

Check data before registrations

Confirm composition splits reconcile to the complete agreed ownership picture. Flag duplicates, aliases, inconsistent writer names and missing authority. Do not auto-complete unknown ownership based only on the featured performer or digital streaming metadata.

Reconcile statements, usage and registrations

Group royalty statements by source, accounting period, work and recording identifiers. Test unmatched lines and apparent underpayments against expected reporting delays, contractual splits and territory differences before asserting a claim.

Maintain an auditable client process

Document approval of each registration, when evidence was received, claim correspondence and payments actually reconciled. Where Audio Motion or A1A Publishing administers a catalogue, the signed administration agreement defines authority, scope and commission.

How Audio Motion can help

A1A Publishing uses a standard 15% administration arrangement under signed terms. If there may be missed royalties, our review starts from source evidence, not a guaranteed recovery promise.
